Position Summary:The Client Service Representative (CSR) is the first and last point of contact for our clients and patients. You'll play a vital role in setting the tone for the entire visit - in person and over the phone - and ensuring every interaction is warm, organized, and efficient. Key Responsibilities:Greet clients and patients warmly upon arrival and foster a welcoming atmosphere.
Answer multi-line phones, schedule appointments, and manage daily appointment flow.
Accurately check clients in and out, process payments, and provide invoices.
Maintain client records and ensure accurate data entry in the practice management system.
Communicate effectively with veterinary team members regarding client and patient needs.
Educate clients about basic services, hospital policies, and general pet care information.
Assist with clerical duties including email, faxing, record requests, and supply orders.
Maintain cleanliness and organization of the reception area and lobby.
Support a positive team environment by communicating respectfully and proactively.
High school diploma or equivalent required.
Previous customer service experience (preferably in a veterinary or medical setting).
Strong communication and organizational skills.
Comfortable with computers and practice management software (experience with Cornerstone or similar systems is a plus).
Ability to handle emotional situations with compassion and professionalism.
Must be reliable, punctual, and able to work a flexible schedule, including some Saturdays.
