Key responsibilities include: Finances, accounts, and payroll Enforce credit policies. Manage accounts payable, accounts receivable, mail statements, monitor bad debts, and deal with collection agency. Perform general accounting tasks. Prepare daily bank deposits and track petty cash. Maintain employee records (federal and state employment forms, confidential files, time cards, performance reviews, and employee benefit records such as those for vacation/sick/personal time, paid holidays, and continuing education allowance). Schedule staff effectively to provide adequate coverage while avoiding overtime hours, and participate in scheduling of the veterinarians. Production Function as the liaison with clients concerning complaints or problems the client is experiencing with the hospital. Responsible for day to day operations, including client statements, patient charge accuracy, doctor sales posting and deposit reconciliation. Inventory Manage, or assist in managing, the hospital inventory to keep levels adequate but minimal. Research major purchases and assist practice owner in negotiating contracts with service and equipment vendors. Technical and/or reception duties Assist in all areas of the hospital as needed. Marketing and client education Maintain client education materials, lending library, and lobby. Develop and maintain relationships with shelters and boarding facilities. Create client communication and marketing strategies. Develop brochures, newsletters, and/or press releases. Participate in community events. Develop working knowledge of medical terminology, diseases, abbreviations, prescription diets, and all medications. Administrative duties Distribute incoming and outgoing mail. Research topics for the practice owner. Maintain office equipment and computers. Become proficient at using Avimark Veterinary Software. Maintain physical appearance of the practice by fixing or troubleshooting any problems as they arise, or arranging to have them fixed as needed
