Description: OFFICE MANAGER, nonprofit Veterinary Clinics
Fulltime position available at a nonprofit spay / neuter organization.
OVERALL RESPONSIBILITY: Responsible for maintaining complete records of clinic activities and providing administrative support to Executive Director and Management staff.
KEY AREAS OF RESPONSIBILITY
Accounts Management Duties:
? Submit and manage accounts payable to financial company.
? Monitor accounts payable for errors and cost-effectiveness.
? Responsible for billing to voucher partners.
? Manage accounts receivable.
? Reconcile and track all revenue for clinic services, donations, and grants monthly. This includes ensuring accuracy of daily transactions and resolving or changing as necessary.
? Assist with collecting data and material for audits.
? Store all original receipts, deposit slips, and packing slips.
? Other duties as assigned.
Administrative Duties:
? Assist the Executive Director in administrative duties.
? Create and maintain statistical reports from database.
? Maintain payroll records.
? Maintain employee files; observe confidentiality.
? Maintain insurance policies.
? Ensure that proper supplies are kept on hand.
? Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
? Maintain hard copy and electronic filing system.
? Research, price, and purchase office furniture and supplies.
? As directed by others in Management, improve, update, or develop and use various office forms.
? Create any documents, flyers, vouchers, etc. as needed.
? Create and update pre and post surgical forms and surgical records for daily clinic use.
? Keep Executive Director and Director of Clinic Operations informed of internal activities.
? Coordinate the production and printing of campaign and clinic materials.
? Coordinate advertising for new hiring.
? Coordinate board meetings, take and send out board meeting minutes to all members.
? Pick up surgical, instrumental, and linen donations from the local hospital.
? Serve as resource to staff for software questions and problems.
? Correct errors on database.
? Order staff uniforms.
? Monitor website and work with webmaster to make changes.
? Maintain clinic policies and procedures manual.
? Maintain clinic operating manual.
? Follow up on all donations with an acknowledgement letter.
? Other duties as assigned.
Qualifications
Candidate must have demonstrated experience in accounts receivable and accounts payable. Candidate must have completed high school education. Some post-secondary education is preferred. Ideal candidate would have experience working in a veterinary clinic or animal welfare setting doing related duties.

? High level of computer skills including experience in QuickBooks, Microsoft Word, Outlook and Excel.
